The Opportunity

We are looking for an Offices Administrator to join our Office Services team in Doha.

We require someone who is bilingual (Arabic/English) to support to the Business team and maintain office services, by organizing day-to-day operations to secure efficiency and compliance to company policies and procedures.

Hours of work: 09:00-18:00, Sunday to Thursday with additional hours as needed.

Who We Are Looking for:

  • You’ll have least three years’ office administration experience, working in a similar role in the Qatar market

  • You must be fluent in both Arabic and English

  • Experience in financial services, management consultancy and/or a professional services environment a plus

  • Key Responsibilities:

  • Welcoming visitors - offer refreshments, assist to allocated meeting space, promptly announcing the visitor to the meeting organizer.

  • Liaising with the office help, cleaning team & building support team to ensure smooth day to day running of the office

  • Managing room configurations for client meetings, internal trainings and office/firm days & events

  • Maintaining the Office Services email – keeping a clear and well-organized inbox

  • Managing incoming faxes – forwarding to relevant project teams if client related

  • Calendar management for Office Services Doha

  • Office & building access cards / fingerprint

  • Office maintenance – liaising with Landlord office, contractors and maintaining a log

  • Operate online internal office applications – ZOOM, Intranet POW site, Slack channel

  • Monthly update of local phone directory

  • Office Services induction and onboarding/exits

  • Courier & internal mail handling & distribution

  • Car parking card distribution management

  • AMEX card enrollment & cancellations

  • Assisting in stock taking, ordering and receiving of office & pantry supplies

  • Invoice tracking and processing.

  • New vendor set-up with Finance

  • Manages OS office-wide comms or announcements

  • Coordinates office meetings (conference room set up and bookings)

  • Hotel contract management

  • Working with IT remote team in Dubai on basic local support

  • Assist IT with Ooredoo documentation

  • Assist IT with basic Zoom conference meeting troubleshooting & basic AV/conference room connection & set up.

  • Assist project team in printing & binding requests

  • Set-up of office: COVID-19 office protocol/guidelines

  • Desk allocation for perm Support Professional

  • Maintaining up-to-date vendors/contractors list and manage relations/services

  • Ensure local HSE policy are maintained and practiced

  • Assisting HC in obtaining work permits and visas

  • Document collection &/or drop off to client, bank or Government entity on occasion

  • Allocation & management of pedestal, pigeonhole, locker keys and parking access cards for new joiners (whichever is applicable).

  • Assists in office social events and making necessary bookings.

  • Assist in any ad-hoc general inquiries.

  • First Aid training certification (enrollment)

  • Managing suppliers services schedule daily, weekly or monthly

  • Managing Local courier from and to QFC or client offices

  • Managing documents and project deliverables when requested

  • Managing storage or disposal of confidential information

  • Supporting HC and Business purchasing tender documents online and prepare authorization letters if needed

  • Collaborating with IT team to support on the ground whenever needed

  • Collaborating with Finance team on processing invoices and follow up on payments when necessary in addition to setup new vendors on the system
